Overview

We are seeking an HR Administration Specialist to join our London office. In this role, you will provide essential administrative support to our HR Services team, working closely with Payroll to ensure accurate and timely processing of employee data. You will help maintain HR systems, uphold data integrity, and ensure documentation is managed in line with company standards, UK data protection requirements, and an expanding knowledge of international regulations, including Estonian employment law.

Responsibilities

  • Accurately input, upload, and audit HR system data within agreed timeframes.
  • Proactively monitor and maintain data integrity in the HR system, identifying and correcting inaccuracies.
  • Collaborate with Payroll teams to ensure seamless transfer of data for starters, leavers, and employee changes.
  • Manage departmental post, including sorting, distributing, and responding to incoming correspondence.
  • Process employment verification requests promptly, ensuring all responses are completed within required timeframes.
  • Support the onboarding process by preparing new starter packs, creating personnel files (physical and electronic), and completing right-to-work and employment checks.
  • Assist with the offboarding process, including processing leaver notifications in payroll, issuing termination letters, and preparing exit interview materials for the HR Partner.
  • Maintain accurate employee records in compliance with company policy and legal requirements.
  • Participate in learning and applying Estonian employment regulations to support the HR team’s work with international employees.
  • Contribute to other HR projects and administrative tasks as needed.

Qualifications

  • 1–2 years’ experience in an HR administration or HR support role.
  • GCSEs, A-Levels, or equivalent education/work experience.
  • Fluent in English, with excellent written and verbal communication skills.
  • Strong proficiency in Microsoft Word, Excel, and PowerPoint.
  • Experience working with HRIS platforms (e.g., Workday, UKG, SAP, or similar).
  • Ability to analyze data and apply logical problem-solving skills.
  • Professional, discreet, and able to maintain strict confidentiality.
  • Understanding of UK HR processes, payroll cycles, and data protection principles is desirable.
  • Interest and willingness to learn about Estonian employment regulations to support cross-border HR operations.
